The Real Estate Project Manager position is a key role at Collectors. Seeking an individual with construction and/or design background, and skills to serve as an administrator across multiple tenant improvement projects. You will be working with our small but tactical team on aspects of existing and new projects, researching and vetting out solutions, and structuring improvements for our standardized team practices. You will be coordinating and collaborating with internal and external Project Managers and vendor partners to ensure the overall success of our projects that are in motion as well as any future projects. 

This role is based at our Santa Ana (CA) office. 

Roles and responsibilities

  • Onboard new workplace and construction project vendors 
  • Manage all contracts across locations and projects, collaborate with legal for agreement review, execution, and renewal
  • Complete monthly purchase reconciliation 
  • Manage the onboarding of a Real Estate portfolio management tool
  • Manage the onboarding of a Real Estate budgeting tool (Procore)
  • Develop and markup floor plans and seating charts (experience in AutoCAD and/or Revit would be extremely helpful)
  • Collaborate with Real Estate and leads and Finance to track project budgets and actuals
  • Oversee and complete the order and delivery of global furniture orders and assist with inventory audits as needed
  • Assist with and coordinate any ad hoc purchasing and delivery tracking
  • Provide key internal stakeholders with visibility into project milestones and completion dates
  • Edit team communications, draft important project emails and memos
  • Actively support the Real Estate team with multiple small projects and tasks related to larger buildouts (ad hoc purchases, order tracking, cost comparisons/analysis, confirming contract details, confirming lease details)

Qualifications and preferences:

  • Post-secondary degree or diploma
  • Minimum of five years related work experience
  • Contract management experience 
  • Strong written communication skills, confidence in developing written summaries & project documentation
  • Large scale budget management and administration
  • Proficiently work in a fast pace environment, delivering on multiple projects from Global locations every day
  • Highly tech savvy, experience with a Real Estate management + budgeting tool is preferred
  • Strong collaboration skills 
  • Highly proficient in excel, Google Suite and PowerPoint
  • Not required but nice to have - Knowledge of Workday, Procore Budgeting Tools, Revit and/or AutoCAD knowledge of construction or design
