Collectors is seeking an Operations Coordinator who will work directly with the Operations Supervisors, Operations Managers, Operations Directors and Operations HRBPs. The Operations Coordinator will be working with our small but tactical team on existing and new projects. Projects include but are not limited to attendance, headcount reporting, shift schedules, being an admin in ADP, ensuring compliance to company policy and Operations SOPs and providing resolutions for employees. In this role you will be completely consistent, daily shift preparation and partnering with stakeholders at various levels in various departments. Additionally, you will need to have flexible hours to help support various events and initiatives that could be after hours or on the weekends. 

This role will report directly to the Training Manager and work from our Jersey City office. 

What You’ll Do

  • Structure, improve and audit standard operating procedures (SOPs) and standardized Operations practices.
  • Assist with the planning and execution of Operations events, engagement activities, team contests, food events, or employee recognition/employee swag distribution etc. 
  • Work with key cross-functional departments to prepare and plan events. Including partnering with the workplace team.
  • Assist with onboarding activities, including I-9 verification, new hire orientation, OKTA approvals, Security Badges, office and operations space set ups, and administration of employee locker spaces. Track and maintain strict workplace/engagement budgets in partnership with budget owners. 
  • Maintaining attendance logs of infractions, as well as logs of employee disciplines.
  • Assist with offboarding activities, badge retrieval, packing up employee spaces, and retrieving company equipment.
  • Escalate initial employee questions and concerns.
  • Scheduling various safety tests, like baseline hearing tests or scheduling uber rides for employees that require testing.  
  • Working hours may vary depending on projects, including evening and weekend work, depending on operations schedules.

Who You Are:

  • Minimum of 2 years experience in a coordinator role or equivalent
  • Experience supporting Operations teams, is a plus
  • Partnering with HR teams is a big plus
  • Experience with coordinating employee initiative is a plus
  • Detail oriented, professional and a collaborative team player
  • Ability to work in a fast-moving environment
  • Strong administrative, organizational, and analytical skills
  • Strong interpersonal, verbal, and written communication skills along with customer service experience
  • Strong demonstration of confidentiality and not sharing information unnecessarily
  • Track record of taking on projects to completion
  • Creative and proactive thinker who can see problems and establish tools, materials and programs to support operations goals
  • Able to deal in an ambiguous environment and tackle ad hoc projects mindfully with a sense of urgency
  • Strong decision making skills with the ability to prioritize and action with little supervision
  • Prepared to be trained as an SME with Google Suite and ADP
  • Have an ability to drive projects through partnerships with multiple stakeholders in the Business and various HR functions
  • Pragmatic problem solver who can find root causes of issues and gain leadership support to address them

Hourly Rate: The reasonable estimated hourly rate for this position is $23. Actual compensation varies based on a variety of non-discriminatory factors, including location, job level, prior experience and skill set.
